There are 4 steps to sending an email audio message and each step should be completed in its proper order:

1. record your message using a microphone
2. play your message to see if you like it
3. upload or save your message to our web site
4. copy & then paste a link into your email

To HEAR an audio file / message
To hear an audio file your computer must have working speakers. Check that they are properly plugged in.

To RECORD & SEND an audio file / message
To record a message, you must have a working microphone plugged into your computer. You can’t send a message with-out first recording one.

Before you try recording a message check that your
microphone settings are correct

Here is how you check in Yakity-YakMail:

1. Using your mouse, Click the Vol Mixer button beside the Record button. A box called Sounds & Audio Devices Properties will pop-up

2. Click on Audio from the choice of menu options at the top of the box

3. Click Sound recording & then click the Volume button. Another small box called Recording Control will pop-up

4. Set the Microphone controls as follows:

• Balance – should be set to the center
• Volume – to start, try setting it at ¾
• Select – the box MUST be checked

Brief overview of what the MAIN buttons mean

Step 1 – Recorder: used to record your audio file / message

Important: the Recorder and NOT the Player controls which audio file is sent with your email.

Audio file names are auto-created (this simply means that your computer automatically names your audio file). You have no control over this feature.

New files are time stamped & sequential. The last 6 numbers of the file name represent the time of your recording in hours, minutes & seconds.

All audio files used by Yakity-YakMail are saved as wav files. This means that the extension is “.wav”. If you look closely at the last 4 letters in the Recording audio file box, you’ll see what I mean.

Recording Length 00: shows the recording time in seconds.

Recording State: indicates whether or not you are recording. Activated by the Record button.

a. Vol Mixer button lets you adjust the setting in the Sounds & Audio Devices Properties box. It is a good idea to check that your settings are correct before trying to record. See the explanation above.

b. Record button automatically starts recording. I find it best to wait a second before recording. Many people start talking at the same time as they hit the Record button and miss recording the very beginning of their message.

c. Stop button. You can use this button to stop recording. However, the program will automatically stop recording when it comes to the end of your 10 or 60 second allowable recording time.

d. New button creates a new audio file. Each time you click the New button the previous audio file is automatically saved for you on your computer. I always click New before starting a new recording.

e. “…” button lets you quickly search for previously recorded audio files stored on your computer. Use this button to load and RESEND a previously recorded audio file.

Important:: you CAN LOAD, but you CAN NOT SEND files that exceed your current version’s allowance of 10 or 60 seconds. MEANING you can load a 60 second file and even play it using the Play Current button, you just can not email it using the 10 second version.

Important: please look closely at the Recording audio file box and notice that by default, all your audio files are saved at: C:\Program Files\YakMail\YakityYakMail\…

Step 2 – Player: used to listen to recorded audio files.

a. Play current button plays the audio file / message you just recorded. That’s the .wav file you see in the Recording audio file box in Step 1.

Important: Clicking this button replaces any existing file in Step 2 with the file from Step 1. You can always reinsert the audio file using the “…” button.

Important: please look closely at the Recording audio file box in Step 1, the Recorder area and notice that by default all your audio files are saved at:
C:\Program Files\YakMail\YakityYakMail\…

b. “…” button lets you quickly search for a .wav or pre-recorded audio file stored on your computer.

You CAN NOT RESEND (email) a previously recorded audio file from Step 2 – Player area – you MUST use Step 1 – Recorder.

c. Play button will only play the audio file that is in the Step 2. Play audio file box.

d. Stop button. You can use this button to stop playing the audio file. However, the program will automatically stop when it finishes playing the audio file.

Step 3 – Create email audio file on Yakity-YakMail.com

Important: be sure before clicking this button that you are connected to the internet and that your browser (Internet Explorer etc.) is open and running. Please be doubly sure if you are using a dial-up connection.

This button creates (sends) a copy of your just recorded audio file (the file that is in the Step 1. Recording audio file box), to the Yakity-YakMail web site where your email contacts will be able to hear it.

Important: You can load any .wav file into the Recorder. However, your upload file size is limited by the version of the software you are using.

1. Standard FREE version – 10 seconds upload
2. Premium version – 60 seconds upload
3. X-treme YM version – unlimited uploading

Step 4 – Copy link to clipboard – then YOU paste into email

This is really a 2 part operation

1. The first part is automatic. By clicking this button, you copy (save) a link (a few lines of special text) to the computer’s clipboard (another name for the computer’s internal memory).

The link looks something like this:

You have a private voice message waiting for you!
Click the link below to listen to your message.
http://yakity.fileburst.com/1499385592_16_16_47.htm

2. YOU will then paste this link (the few line of special text) that’s waiting for you on the clipboard (waiting in the computer’s memory), directly into the body of your email.

If you DON’T paste the link or special text into the body of your email, then the person receiving your email will have no indication that you sent them an audio email.

1. Be sure you are connected to the internet and that you’re email program is open (and you are about to create / write a new email.

2. In the body of the email (large text area), LEFT click your mouse button so that the mouse cursor starts blinking.

3. Now RIGHT click the mouse button. A little box will popup – click the Paste option.This pastes the link into your email. The person receiving your email will click-on this link. They will then be connected to Yakity-YakMail.com & hear your message.

4. You are now ready to write some text, or add an attachment etc., as you would normally. The link doesn’t interfere in anyway with your regular email.

5. Now send yourself a test email to be sure every thing works. Yes, you can send yourself an email! Just fill in the “To:” box with your email address.

Expands to show a brief statement about Yakity-YakMail. Toggle once for ON & again for OFF.

You CAN change the first 2 lines to suite your needs. DO NOT change the link itself, because if you do, your email audio message will not work.

TIPS:

1. Changing an audio file name
Once you have recorded an audio file and it is stored on your computer, you can change its’ name for easy reference and playback.

2. Resending a previously recorded audio file
Just load the file using the Recorder “…” button in Step 1. DO NOT use the Player “…” button in Step 2.

Then click the Play current button to make sure you have the right file and it is playing properly. Now follow Steps 3 and 4 as you would normally.
